Support for 12 week and 8 week sections:
12 week courses started this week. If you are teaching a 12 or 8 week session this semester--thank you! You are helping the college become more student-centered in creating sections that are flexible to the needs of many of our students. Additional sections are being added in order to help the college meet its Fall 2021 enrollment goals; as last week’s In Focus stated, “Eight-week courses have continued to be added to the Fall schedule to meet student enrollment demands.”
Switching a course from the traditional 16 week session to a 12 or 8 week section can be challenging, and CTE is here to help!
Friendly Reminder: Some students may not remember or realize the start date of the 12 week course. A best practice is to send a friendly reminder. Below is an email template that you can use to remind students of the start date and the new attendance policy. Please feel free to use as much or as little of the text as you would like.
Subject line: Did you know that your section of --Insert Course Name here-- started this week?
Asynchronous Template:
Hi --Insert student name here--,
Please consider this a friendly reminder that the 12 week session of --Insert Course Name here-- started this week. You are not behind--the first assignment is not due until --insert date here--! Please be aware of the college’s new attendance policy, which requires regular attendance as well as completion of weekly assignments. If you need help logging into Blackboard, please see the Blackboard Login Help page. Once you have accessed the course, I am available to help you with any questions you have regarding the content of this class, so please do not hesitate to contact me.
Synchronous Template (feel free to modify for a proactive email before the first class):
Hi --Insert student name here--,
Please consider this a friendly reminder that the 12 week session of --Insert Course Name here-- started this week. We missed you in class, but you can catch up--the first assignment is not due until --insert date here--! Please be aware of the college’s new attendance policy, which requires regular attendance as well as completion of weekly assignments. We meet on --insert date and time as well as classroom or Virtual log-info--. I am available to help you with any questions you have regarding the content of this class, so please do not hesitate to contact me.
Syllabus submission for courses is usually required within one week of the start date; for 12 week sections, this means your syllabus will most likely need to be submitted during the week of 9/27/21. For more specific information, please contact your Academic and Career Pathway office.
The Census date for 12 week sections is Wednesday, Sep 29, 2021. Please make sure to enter attendance for these sections throughout the semester, but especially before this date.
Course Conversion Workshops are Coming!
CTE is pleased to announce that Course Conversion Workshops will be available soon! These workshops are for those faculty who are converting their course(s) from a 16-week course to a 12-week or 8-week course. Faculty will examine how compressed courses can benefit students, how to convert their course to a compressed format, and begin to convert one of their courses with the assistance of a Faculty Development Coach and an Instructional Designer. Please watch for information about the scheduled dates & times of workshops, how to sign-up, and more, in our next CTE Connections newsletter.
Course hours, WTCS Requirements, and 12-week or 8-week conversions:
WTCS requires specific course hours depending on the type of course offered. This information is important to know in the conversion from a 16-week course to a 12-week or 8-week schedule because, according to WTCS requirements, all hours must be accounted for. In the WTCS Course Hours document, it shows the required hours are based on a per credit basis. This means you need to take into account the number of credits of a course (unless otherwise specified), especially when converting to a 12 or 8 week schedule. Adherence to these requirements often happens through departments such as Curriculum and Scheduling, it is good for faculty to also know what the requirements are because more and more courses are being offered in various modalities. If you have any questions on course hours, please contact the Curriculum department.
Teaching Action Plan (TAP) Workshops
All faculty are invited to participate in one of two optional workshops about the new Teaching Action Plan template and process that is being rolled out by the Center for Teaching Excellence. As a reminder, all faculty--Full Time and Part Time, probationary and post-probationary--are required to participate in a Peer Coaching process through the Teaching Action Plan (TAP). At MATC we do this by setting up at least one S.M.A.R.T. goal, identifying a peer coach, and working with them throughout the year. The goal should be aligned to at least one of the Standards of Teaching Excellence. The process is documented by using the NEW Teaching Action Plan (TAP) form. Each faculty member should make a copy of the form, edit it with their own information, and then submit the completed form at the end of the year in SumTotal. Probationary faculty should work with their assigned Faculty Development Coach on creating a TAP in the last year of their probationary period. Post-probationary faculty should work with their self-selected Peer Coach on setting up a goal and completing their TAP.

There will be two TAP workshop times that faculty are welcome to attend; the same information will be shared at both workshops, so please choose the time that is most convenient for you.

Student-Centered Syllabus Design FLC
The Center for Teaching Excellence has started a Faculty Learning Community focused on student-centered syllabus design. The Student-Centered Syllabus Design FLC will focus on how to create a syllabus that supports student growth and success. Rather than explaining penalties and policies, the syllabus can help students develop a relationship with their instructor and understand the ways in which the institution wants to support their success.
The first meeting of the FLC will be the week of October 12. After a two-week independent research period, participants will meet weekly for 2 hours until the week of December 6. During those meetings participants will apply the principles of student-centered syllabus design to create a revised syllabus template for spring 2022 courses. If you are interested in participating in this important work, please contact CTE.

CTE Connections is designed to keep you informed, not only about CTE’s work, but also regarding other college-wide initiatives. We hope that the information below will help you to navigate the current updates from the college that directly impact faculty.
Stormer Connect Faculty Mentoring Sum Total Training will begin October 1, 2021:
Because faculty play a key role in student engagement, retention and satisfaction, a new program called Stormer Connect Faculty Mentoring will be available to students this fall. With this in mind, faculty will have an opportunity to serve as a mentor should they be approached by a student, to acquire FQAS hours and fulfill TAP requirements.
All full-time faculty are designated as mentors, and part-time faculty can choose to mentor as well. Faculty can designate their availability using the feature in EAB Navigate. Next steps, faculty will complete the Stormer Connect Faculty Mentoring Sum Total Training. For more information, please visit Stormer Connect Faculty Mentoring webpage.
Do you know about the international OER movement?
Open education resources (OER) save students money, improve DEI, and increase retention. Learn more about this, the virtual OE Global Conference (Sept. 27 - Oct. 1), and the Wisconsin Technical College System OER Symposium (Oct. 29, still accepting proposals) in the MATC OER Monthly Newsletter.
Career Essential Update:
In Spring 2021 a group of faculty was asked by the Assessment Department to look at the current state of Career Essentials rubrics and indicators. This team conducted a survey about the present implementation of Career Essentials, and looked at what works, what doesn't work, and what needs to be changed. 53 MATC programs participated! The results of the survey and team's discussion led to a proposal for changes in our Career Essentials requirements and process.
In the recent Online News You Can Use newsletter from our Online Learning Department it was announced that, "Per the feedback from faculty and the faculty-driven Student Learning Assessment Task Force, MATC’s Career Essentials rubrics have been updated to reflect a 100% grading scale with a “Not Demonstrated” level. This change is intended to improve the consistency of scoring student performance with the rubric. To use a new rubric in your Career Essential Assessments, see these instructions. Only the rubrics have been updated; the overall Career Essentials Assessment setup process and procedure have not changed.”
In addition, the Student Learning Assessment task force proposed to change the number of required Career Essentials, as well as the process of collecting artifacts. This Fall the task force would like to meet with as many MATC faculty as possible to present the proposed changes and to gather faculty's feedback before finalizing them and reviewing/revising rubrics and indicators in the Spring 2022. The anticipated date for launching Career Essentials changes is Fall 2022 (the next academic year). Stay tuned for the invitations to attend these discussions later this semester.
Attendance Update
Last week, MATC announced an adjustment to the instructions for the Attendance Policy:
1. Please continue to take attendance in Self Service. If you have taken attendance in Blackboard, please manually transfer that information into Self Service.
2. If a student enrolls late for a Present/Absent course - enter "Absent - excused" for them.
3. Update: ABE/ELL/ Adult HS are excluded from Attendance Based Withdrawal.
4. Update: For Online, Virtual, Hybid, Blended, and Hyflex courses - attendance is required to be submitted by the end of the week (rather than 24 hours after a course).
If you need help, inputting attendance into Self-Service, please see Entering Present/Absent Attendance Hours in Self-Service for Faculty.
